Privacy Policy

Hoop Bus Inc. ("Hoopbus," "we," "us") is a 501(c)(3) nonprofit that brings basketball programs to schools and communities. This policy explains what personal information we collect, how we use it, and the choices you have. It applies to hoopbus.com, our email newsletter, our text messages, and the forms you fill out to book, volunteer, register for or donate to Hoopbus.
1. Information we collect
Newsletter sign-ups: your email address, and your name if you give it.
Booking requests (hoopbus.com/book): your name, email, phone, organization, and event details.
Volunteer and crew sign-ups: your name, email, phone, city and ZIP, interests, availability and experience. For people who work our events, we also keep the roles you can fill and the status and date of any required background check. We do not store the check reports themselves.
Event registration and waivers: participant and parent or guardian details that event safety requires, including signed waivers. Information about minors is kept in restricted storage that only authorized staff can access.
Donations: your name, email and gift amount. Payments are processed by our payment providers (such as Stripe); we never see or store your full card number.
Website use: our website host (Squarespace) collects standard information such as pages visited, browser type, and general location, using cookies.
Photos and video: we photograph and film our events to share our work. Participants and crew can ask not to be featured by contacting us.
2. How we use it
To run our programs: book events, staff them, and keep participants safe.
To send the newsletter and updates you asked for.
To process and acknowledge donations and send tax receipts.
To contact you about events you're working or have registered for.
To improve our website and programs.
We do not sell or rent your personal information.
3. Email newsletter
We send our newsletter through Mailchimp, and only to people who signed up. Every email has an unsubscribe link. You can also email info@hoopbus.com to be removed. Mailchimp may record whether you opened an email or clicked a link, so we can see what our readers find useful.
4. Text messaging (SMS)
Hoop Bus Inc. sends text messages to staff, contractors and volunteers who have agreed to receive them. We use these messages only for event staffing: availability requests, booking confirmations, schedule changes and reminders. We do not send marketing texts.
Message frequency varies with the events you're asked to work. Message and data rates may apply. To stop receiving texts, reply STOP at any time. For help, reply HELP or email info@hoopbus.com.
Your mobile number is used only to contact you about Hoopbus events. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties. We share your number only with the service provider that delivers our messages (Twilio), and only so the message can be sent.
5. Who we share information with
We share information only with service providers that help us operate, and only for that purpose. These include Google Workspace (email and files), Squarespace (website and forms), Mailchimp (newsletter), Stripe [and other payment processors] (donations), Twilio (text messages), and Jotform (forms and waivers). We may also disclose information if the law requires it, or to protect the safety of participants.
6. Children
Our programs serve young people, but our website and newsletter are meant for adults. We do not knowingly collect personal information online from children under 13. Information about minors who take part in our events comes from their parent, guardian or school, and is used only to run the event safely. If you believe a child has given us information online, contact us and we will delete it.
7. How long we keep it and how we protect it
We keep information only as long as we need it for the purposes above, or as long as the law requires (for example, donation records for tax purposes). Access is limited to Hoopbus staff who need it, and sensitive records such as waivers are kept in restricted storage.
8. Your choices
You can unsubscribe from emails, reply STOP to texts, or ask us to access, correct or delete your information by emailing info@hoopbus.com. We will respond within 30 days.
9. Changes
If we change this policy, we will update the effective date at the top of this page.
